How to prepare your old PC before you move

Ten minutes of preparation saves hours later. Here's what to check on your old computer before you start any migration.

Why preparation matters

Most problems during a computer move have nothing to do with the transfer itself. They come from files you forgot existed, cloud folders that aren't really on the disk, or a laptop that goes to sleep halfway through.

A short checklist on the old computer avoids nearly all of them.

1. Find where your files actually live

Your Documents, Pictures and Desktop folders are the obvious places — but many people also keep important things in Downloads, on a second drive (D:), or in folders created by specific apps.

  • Open File Explorer and look at every drive under “This PC”.
  • Check Downloads for anything you still need — it's often the most forgotten folder.
  • Note any project folders you created yourself outside your user folder.

2. Check OneDrive and other cloud folders

If you use OneDrive, some files may show a cloud icon: they're “online-only” and aren't physically on the computer. Copying them either fails or silently triggers a large download.

If you'll sign in to the same OneDrive account on the new PC, those files will appear there anyway. If not, right-click the folder and choose “Always keep on this device” first.

3. Write down your apps and licenses

  • Open Settings → Apps → Installed apps and take a screenshot of the list.
  • Find license keys for paid software (Office, accounting software, design tools). Many are in your email.
  • Deactivate licenses that only allow one computer, if the vendor requires it.

4. Make sure you can sign in to everything

Saved passwords live inside your browser and apps. Before you move, make sure you know your email, Microsoft account and important website passwords — or that your browser syncs them to your account.

5. Tidy up and plug in

  • Empty the Recycle Bin and delete large files you no longer need.
  • Close big apps and pause any running backups.
  • Plug both computers into power.
